Among others, a completely new function of expenses was introduced to supplement the Finance module. We also addressed the issues related to assignment of course participants to parent\u2019s account. We encourage you to become familiar with the updates. <\/strong><!--more--><\/p>\n<ul>\n<li>\n<h3><strong>Expenses<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>In response to the needs of our customers, we created a completely new function to supplement the<strong> Finance module.<\/strong>\u00a0From now on you can record the costs in your language school. You have three types of costs to choose from:<\/p>\n<p><span style=\"text-decoration: underline;\">1.Amortized <\/span><\/p>\n<p>Amortized consists in regular deduction of a given amount of fixed asset\u2019s cost as business expenses until it\u2019s totally worn out.<\/p>\n<p><span style=\"text-decoration: underline;\">2.Recurring<\/span><\/p>\n<p>If your costs recur every month, for example office rental fees, you can select a recurring cost. You can choose the date range when you incur a given cost and owing to this function it is automatically added to the list of expenses.<\/p>\n<p><span style=\"text-decoration: underline;\">3.One-off<\/span><\/p>\n<p>Of course you have the option of adding a one-off cost, e.g. the purchase cost of printer inks. You can add more expenses by clicking <strong>Add another one.<\/strong><\/p>\n<p>You will easily filter out your costs by date, name, or even by comments and you can delete items (in the cost of recurring costs, you can use the additional <strong>Cancel All button<\/strong>).<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-2972\" src=\"http:\/\/blog.langlion.com\/en\/wp-content\/uploads\/2017\/02\/expenses.gif\" alt=\"expenses\" width=\"1343\" height=\"614\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>What is important,\u00a0the<strong> expenses function is related to settlements of groups and teachers<\/strong>.\u00a0<span style=\"color: #ff0000;\">After regeneration of classes, costs appear on the list.<\/span>\u00a0If you make changes, e.g. related to the amounts of teachers\u2019 fees or after a change of class status (e.g. you cancel a class) and you regenerate a class, the system automatically changes your costs. You can always preview on the list what costs you incur for specific classes.<\/p>\n<div class=\"alert alert-danger\">Important!!!<br \/>\nCustomers having Finance module can take advantage of Expenses function. To start using Finance and the new module, contact us\u00a0<a href=\"mailto:sales@langlion.com\">sales@langlion.com<\/a>\u00a0+48 501 874 88\u00a0\/\u00a0+48 22 868 06 52.<\/div>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Refreshing the Finance report \u2013 monthly balance of account<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>The name of the report at <strong><em>Finance \u2013 monthly results<\/em><\/strong><strong> has been changed<\/strong>. Additionally we introduced a new column \u2013 Total cost, which is generated on the basis of data from cost module.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-2975\" src=\"http:\/\/blog.langlion.com\/en\/wp-content\/uploads\/2017\/02\/total-cost.png\" alt=\"total-cost\" width=\"1040\" height=\"552\" \/><\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Adding attachments to invoices for corporate settlements<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>Starting from today\u2019s update, you can send invoices to companies accompanied by attachments. After settling a company you can send a VAT invoice in PDF format to an e-mail address. Then a query appears, whether you also want to send an attachment accompanying the said invoice (see below).<\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Choice of fonts in mailing editor<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>In line with your suggestions, we added the option to choose the font type in mailing. From now on you can better customise your mailing using various fonts. But remember that they have to match your visual identification.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2983\" src=\"http:\/\/blog.langlion.com\/en\/wp-content\/uploads\/2017\/02\/fonts-1.png\" alt=\"fonts\" width=\"589\" height=\"431\" \/><\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Assigning course participants\u2019 accounts to a single parent\u2019s account<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>So far, you had to create a separate parent\u2019s account for each child\u2019s account; now you can easily assign several accounts of course participants to an account of a single parent. Owing to this, a parent has access from a single account to e-register of all their children being course participants in your school. To start using the new function, you have to move to System Configuration in <strong>Secretariat and tick the The possibility of combining accounts.<\/strong><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-2985\" src=\"http:\/\/blog.langlion.com\/en\/wp-content\/uploads\/2017\/02\/parents.gif\" alt=\"parents\" width=\"1343\" height=\"614\" \/><\/p>\n<p>Moreover, you can always check fast who a course participant is merged with owing to Merge accounts info in the general data of a course participant.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2987\" src=\"http:\/\/blog.langlion.com\/en\/wp-content\/uploads\/2017\/02\/student.png\" alt=\"student\" width=\"480\" height=\"608\" \/><\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Refreshing class generator after class edition in the calendar<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>If a need arises to cancel a class, you can do that easily in calendar view. After you make changes, the system will automatically regenerate classes and add new lessons.\u00a0You can do that from <strong>Secretariat level<\/strong>.<\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Batch<\/strong> export<strong> of grades from groups to a spreadsheet<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>Teachers assign a lot of grades they input in columns \u2013 at their accounts; so it is worthwhile to begin with creating grading column templates. To improve efficiency of work and their transparency, a new Group report has appeared at the Platform<strong> \u2013 average grades in grading column templates.\u00a0<\/strong>Owing to it you can easily save on your computer the grades of all course participants in a given group, with the help of the option of data export to a spreadsheet.<\/p>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Mailing of access data using SMS messages<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>After adding a new course participant, it is worthwhile sending to them the data enabling access to e-register. Earlier this could have been done via e-mails, and from now on you can also send SMS messages. This is an effective form of communication, because you can be sure that it will be read faster than a message in a mailbox.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-2988\" src=\"http:\/\/blog.langlion.com\/en\/wp-content\/uploads\/2017\/02\/sms.jpg\" alt=\"sms\" width=\"477\" height=\"286\" \/><\/p>\n<p>You have always two types of SMS messages to choose from:<\/p>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li><strong>ECO<\/strong>\u00a0\u2013 a random number is displayed in sender\u2019s name,<\/li>\n<li><strong>PRO<\/strong>\u00a0\u2013 the name of your school in sender\u2019s box.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<div class=\"alert alert-info\">To use this function, you need to have a SMS account recharged (from\u00a0<strong>Secretariat level<\/strong>).<\/div>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Bookkeeping each payment settled in advance<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>Course participants have the option to pay in advance for a specific number of class hours. The amount to be paid is converted on the basis of per-class fee. Earlier it was impossible to credit a payment that differed from product of the multiplication of the price and number of classes.<\/p>\n<p>The technical department introduced an improvement consisting in the option of entering and crediting any amount paid in advance. Owing to it, a course participant can pay for classes with uneven amount and the secretariat can enter it into books with no problem. Any surplus is added to the balance of account.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-2990\" src=\"http:\/\/blog.langlion.com\/en\/wp-content\/uploads\/2017\/02\/payments.gif\" alt=\"payments\" width=\"1343\" height=\"614\" \/><\/p>\n<h3><\/h3>\n<p>&nbsp;<\/p>\n<ul>\n<li>\n<h3><strong>Balance of account for settlements on per-hour in advance basis<\/strong><\/h3>\n<\/li>\n<\/ul>\n<hr \/>\n<p>When making per-hour settlements of course participants<strong> in advance<\/strong>, two amounts appear (see the picture).
